Setup
Zones (your service area by zip code)
Office web page → Settings → Zones. Owners and admins set them up.
- A zone is a list of zip codes, like "West Boise" or "Garden Valley". Paste zips any way you like (commas, spaces, one per line), or add a column from a spreadsheet. A zip can only be in one zone.
- County and tax rate (optional): the zone's rate replaces the state's rate on new estimates. What's taxable still follows the state's rule under Settings → Sales Tax. Leave it blank to use the state's rate.
- Minimums (optional): residential, commercial, and janitorial/maid. A new estimate for a customer in the zone uses the zone's minimum when it's higher than the rate set's. It shows as the minimum service charge.
- Active: untick a zone to take it out of your area without losing its zips.
Which zone a customer is in
It comes from the zip code in their address. Nothing is stored on the customer, so fixing an address fixes the zone.
- On the office web page and the iPhone, an estimate shows the customer's zone, its minimum and its tax rate next to Sales Tax. Sent estimates keep what they went out with.
- Customers → Area lists one zone's customers, or everyone outside your service area. The Zones page counts how many customers are outside every zone.
Outside the service area
Once you have any zones, an address whose zip is in none of them is outside your area. Until then, everywhere counts as inside.
- Booking page: customers there see "Sorry — we don't serve that zip yet." They can leave their name and number instead. It arrives as a lead under Sales → Leads, and the office is emailed. An address typed without a zip is asked for one.
- Office: an estimate for an outside address shows a warning, but you can still go ahead.
The zone map
Click Show Map on the Zones screen to see your zips drawn in each zone's color. Point at a zip to see its number and zone. Inactive zones are drawn lighter, with a dashed edge.
The zip shapes come from the U.S. Census Bureau. P.O.-box-only and brand-new zips have no shape and are listed under the map. After changing zones, click Show Map again to redraw.
