Capacities, time off and blocked time
Office web page → Schedule → Capacities & Time Off. The office sets these one day at a time. Owners and admins set the weekly defaults.
Limits only stop online booking. The office can always book past them, and Find a Time marks those times Full online.
Limits
- Per department: a dollar limit and an appointment limit for Residential, Commercial and Janitorial/maid. For example, Residential $9,600 and 24 appointments. Blank means no limit.
- Per route, per zone (with routes and zones set up): how many online bookings each route takes in each zone, like Route 1 with East Boise 4 and Kuna 4. Leave every box empty and routes aren't limited by zone. Once any box has a number, a route takes online bookings only in zones with a number (0 means none).
- Save for This Date gives one date its own numbers. Use it for a day you know will be slower.
- Make It Every Tuesday (owners and admins) sets the weekday's default. Dates with their own numbers keep them.
- Copy these numbers to other dates fills a range, on the weekdays you tick.
- Turn on Online booking follows these limits to start using them (owners and admins).
Counted are cleanings and plan visits that aren't canceled. Dollars are the estimate's total. The department is janitorial/maid for that work, and otherwise the customer's type.
Routes shut for the day
- A route is open on its open days (Settings → Routes), so Sundays stay shut unless you open them.
- Routes this day lists each route with its crew and how many jobs it has that day. Tick a route to close it for the whole day, or tick the box at the top to close every route that has no jobs. Then click Save Closures.
- A route with jobs that day can't be closed. Move its jobs first.
- Copy these closures to other dates: click the dates on the calendar, then Copy Closures. It replaces the closures set on those dates. It doesn't unschedule or unroute any jobs.
- A route with nobody on it that day isn't offered online. That covers nobody being assigned, and everyone on it being on time off. If you put people on routes the day of (Settings → Routes), empty routes stay bookable.
Time off
Techs ask for their own on the iPhone: Schedule → Time Off → +, with the days and a reason. The request waits as Waiting for an OK, and the office gets an email.
- Who decides: owners, admins, the office, estimators and supervisors (leads and managers). Approve or deny under Requests waiting on this screen, or on the iPhone's Time Off screen. Denying can include a note.
- The tech gets an email either way, and sees the status in the app. A tech can swipe to take back a request that's still waiting.
- The office can add time off directly: a person, the first and last day, and a reason. It's approved right away.
Once time off is approved:
- On a route: the person comes off the route's jobs those days, so the jobs leave their My Day and calendar. If the time off is removed, they're put back. The Routes board shows them "(off)" so you can put someone else on the route. A route with nobody left isn't offered online.
- Without routes (jobs go to techs): nothing moves on its own. Jobs to reassign lists that day's jobs for anyone who's off.
- A request that's still waiting doesn't count for booking or crews until it's approved.
Blocked time
Block part of a day so nothing is booked inside it, such as a long morning meeting or working only half a day.
- Pick the hours and a reason, and tick the routes (or people) it's for. Tick none and it's for everyone.
- Quick picks: Morning meeting (8–10), Half day (off after noon) and Half day (afternoon only).
- Copy this day's blocks to other dates: click the dates on the calendar (every Monday for a weekly meeting, say), then Copy Blocks.
Online booking and Find a Time also choose the route now. A booking goes on a route, and whoever is on that route that day does it.
