Preflight Leadership — one-on-ones, scorecards and personal goals
Leadership (office web page, Training ▾ → Leadership) helps every manager hold a short monthly one-on-one with each person who reports to them. Each one uses that person's scorecard, keeps their personal goals in view, and ends with one or two focuses for next month. It's for coaching, not comparison: no screen ranks people against each other.
1. Positions and people
People report to positions, not to people. When someone leaves or moves up, the position keeps its people, their goals and their history, and whoever fills it next picks right up.
Leadership → Positions (owners and admins). Tap Add the Standard Positions to start from a chart, then rename, add or remove positions to fit:
- Owner → Operations Manager → Production Manager → Team Lead – Team 1 and Team 2, each with its Technicians
- Operations Manager → Office Manager → Call Center Manager → CSRs
- Operations Manager → Commercial → Commercial Techs, and Logistics
Each position has a kind (it decides the scorecard), what it reports to, and who fills it. Tick acting for someone filling in. A group position (Technicians, CSRs) can have several people; a position others report to should have one.
Leadership → People → + Add a Person:
- Name as it shows in your reports, plus other names (a nickname like Kai) so report rows match.
- Positions they fill, as many as they hold. Each position's kind brings its scorecard, so someone who's both a Commercial Tech and in Logistics has both.
- Sign-in: link a team member's sign-in so they can see their own scorecard and goals any time. People who don't sign in can still have a scorecard and one-on-ones.
- Untick Still with us when someone leaves; their history stays.
Who holds each person's one-on-one is worked out from the chart: whoever fills the nearest position above their highest one.
- Same person in both: if you fill a position and the one above it (say Production Manager and Operations Manager), there's no one-on-one with yourself. Positions shows Same person — no one-on-one needed.
- Open positions roll up: if Team Lead – Team 2 is empty, that team's one-on-ones go to the Production Manager until it's filled.
- Managers see their people's scorecards and one-on-ones, and their people's people too.
- The Office Manager (in charge of HR, the call center, AR, AP and bookkeeping) can read everyone's finished one-on-ones and scorecards for HR, and see Reports for the whole company. Never private notes or personal goals.
2. Bring in the month's reports
Leadership → Import Reports: drop all the month's files at once.
- ZRWare: Technician Close Out, Technician Revenue by Service, ReService Summary, Tech Tip Report, CSR Bookings.
- Listen360 (or another NPS service): Technician Performance, as a CSV.
- Or a spreadsheet with a Name column and any of the scorecard numbers.
Preflight recognizes each report, reads its month from the title (change it if needed), and matches names to your people. A name it doesn't know is listed: pick who it is (it's remembered as another name) or Skip it, then Bring Them In. Only each person's totals are kept; customer names and phone numbers in the reports are never saved. Reservices count against the tech who did the original job.
3. The one-on-one
On Leadership, your people are listed with this month's status. They're due by the 20th (change it in Settings). March, June, September and December are quarterly reviews, in place of that month's one-on-one. Tap Start One-on-One and follow the five steps:
- Personal check-in.
- Performance: last month's scorecard (with the two months before it), and your green, yellow or red read on the habits behind the numbers.
- Skill development.
- Growth and goals: their personal goals, progress since last time, and what you said you'd do to help.
- Action focus: one or two focuses for next month. You can't finish without one.
Last month's focuses show at the top. Private notes are only for you and the managers above you; everything else, the person can read once you Finish, and they tap Acknowledge.
4. Personal goals
Ask "What do you want — at work or in life?" A house, paying off a truck, a certification, more time with family, leading a team. Each goal has steps, a target date, and How we can help: what you and the company will do. The person chooses who sees each goal: just their manager (the default), the managers above too, or the whole team. Goals are never part of a scorecard, a rating or a bonus.
5. Reports
Leadership → Reports (managers, the Office Manager, owners and admins). Pick the months, and the manager if you want one team:
- One-on-ones done: done, started, missed and acknowledged, by manager and by person.
- Focuses and how they went: each month's focuses and whether they improved by the next one-on-one.
- Ratings: the habits most often yellow or red across the team (good topics for a morning meeting) and each person's ratings.
A manager sees their own line; owners, admins and the Office Manager see everyone. Download CSV for a spreadsheet. Private notes and personal goals are never in a report.
6. Kudos and Employee of the Month
If your company has Kudos on (a free add-on — see Kudos and Employee of the Month), the Leadership page shows this month's kudos and the latest winners, and each person's kudos show on their page and in the Growth & goals step of their one-on-one. With Leadership, the winner also counts customer voice and each person's own scorecard.
7. Scorecards and settings
The green, yellow and red lines start from the Tech Flight Manual and Team Lead Field Book: for example, job average green at $400 and up, reservices green under 2%, Listen360 NPS green at 90 and up (as a 3-month score, because small months swing). Change any of them in Leadership → Settings, along with the one-on-one due day, your pay periods, and the team lead bonus (a percent of team revenue, plus more at team NPS tiers).
In the app
The Leadership tab shows your one-on-ones for the month (tap Start, Continue or View), your own scorecard and goals, and any one-on-one waiting for you to read and Acknowledge. You can hold the whole one-on-one on your phone, add and edit goals, and look at anyone's scorecard you manage. With Kudos on, Give Kudos, the team's kudos and last month's Employee of the Month are on the Leadership tab too. Positions, People, Reports, report imports and settings are on the office web page. The Office Manager can read (not change) anyone's finished one-on-ones.
A company that uses only Preflight Leadership sees just Leadership, Chat and Account in the app, and only Leadership, Chat, Training and Settings on the office web page.
Owners: your own page has My Monthly Review — the same five steps with the owner scorecard, to work through with a coach or advisor.
