Online booking, deposits and cancellations
Office web page → Settings → Online Booking & Scheduling. The customer booking page is an add-on — ask Preflight to turn on Online Booking. Office hours and Find a Time work without it.
The page your customers use
- Pick a page address (like flyingrugguy) and tap Save Address. Your link is
…/book/?c=flyingrugguy— put it on your website, Google profile and emails. - Customers type their email and get a sign-in link (no passwords). If that email is a contact on one of your customers, their places are already there.
- Commercial customers see the rooms from their last accepted (or sent) estimate, check the ones they want, and see the exact price at your rates.
- Residential customers pick services and room counts (sizes optional, for a closer price), stairs and furniture. They see a price range, confirmed on site — like a phone quote.
- They pick a time. Times when a van is already nearby are marked Van nearby. Choose Only times near jobs already booked if you'd rather customers only see those (when there are any).
- It goes straight on the schedule with the tech who's free: a cleaning appointment, a new customer and contact if they're new, an accepted estimate (marked Online Booking), and calendar invites. You get an email.
- After booking they can add photos — they land in the customer's photos for the tech.
Prices are figured on Preflight's server from your rate sets; the page never sees your rate tables.
Card deposits
- Turn on Take a deposit, choose a percent or a flat amount and a minimum, and whether it's for residential, commercial or both.
- The owner taps Connect Stripe and signs in to (or makes) the company's own Stripe account. Money goes to you; Stripe's card fees apply; Preflight takes nothing.
- The customer pays on Stripe's page. Their time is held for 35 minutes while they pay; if they don't, it lets go.
- The deposit comes off the final QuickBooks invoice ("Less deposit paid online").
Cancellations
- Customers can cancel online up to 24, 48, 72 hours (your choice) before the visit. Inside that, the page tells them to call you.
- Canceling online in time refunds the deposit automatically.
- Canceling from your schedule doesn't refund on its own — Schedule → Online Bookings → Refund deposit.
Online Bookings list
Schedule → Online Bookings shows what customers booked, the price, the deposit (paid / refunded), the tech, and bookings that weren't finished.
