Routes — the route owns the jobs
The route is king. A job goes on a route — Route 1, Night Commercial, Commercial Estimates — not on a person. People are put on a route for the day and get its jobs. When someone calls out, put someone else on the route: the jobs don't move.
Set up (owners and admins)
Office web page → Settings → Routes.
- How jobs are scheduled: Jobs go on routes, or Jobs go to techs (each job names its techs — how Preflight worked before).
- Your routes: a name and color, who usually runs it, what it does (departments), capacity — hours a day (8 to start), and optionally jobs a day and a target $ — and the days it's open. Drag order with ↑ ↓.
Scheduling a job
On a job's appointment, pick its Route (or leave it unrouted to place on the board). Whoever is on that route that day does it — their My Day, job sheet and calendar.
Schedule → Routes (the day)
- Unrouted jobs on top, by time of day (Morning, Mid-day, Afternoon, After 4 PM). Online bookings land here.
- A column per route: its crew, jobs ("2 of 4"), booked $ against its target, and the Gap left in hours.
- Drag a job onto a route (it goes in front of the job you drop it on), between routes, or back to Unrouted. Each unrouted job also suggests the nearest open routes with room — one click places it after its nearest stop.
- Crew: click the names under a route to set who runs it that day; Back to the usual crew undoes it.
- Close / Open a route for the day. Closed routes don't take jobs.
Schedule → Routes → Map
Pins in each route's color, numbered by stop, with its line; unrouted jobs are white. Drag a white pin onto a route's stop (on a computer) to put it on that route right after that stop. Tick routes on the side to show or hide them; Day timeline shows a route's day.
Good to know
- People's names on a routed job always come from the route — change the route's crew, not the job's.
- The usual crew carries to every day unless a day has its own.
Renaming a route
Settings → Routes: click a route's name, type the new one (like "Carpet Truck" or "Night Commercial"), then Save. Its jobs from today on show the new name.
Putting people on routes the day of
You don't have to give a route a usual crew. Leave Usually run by empty and tick Put people on routes the day of (Settings → Routes):
- Online booking and Find a Time still offer the empty routes.
- On the day, put people on each route on the Routes board. They get its jobs on My Day, their calendars and the iPhone.
- Capacities & Time Off shows "Nobody on it yet" for routes still empty that day.
With it off, a route with nobody on it that day isn't offered for online booking.
Route Logs
Routes board → Logs shows who changed which route and when, newest first. It covers the last 300 changes. Filter by route, by the day a change is about, or by who made it.
It logs:
- routes created, renamed or archived, plus their usual crew, open days and limits
- a route's day: opened or closed, a crew swap, that day's limits
- online booking limits for a date
- blocked time added or removed
- approved time off, which takes someone off their route
- jobs moved from one route to another
The app's own follow-up changes aren't logged, such as copying a route's crew onto its jobs. Only the person's change that caused them is.
The office, supervisors and logistics managers see the logs. Nobody can edit or delete them.
