Service reminders ("time for your next cleaning")
Office web page → Settings → Company → Service Reminders. Owners and admins turn them on. Reminder emails are part of Smart Booking & Marketing: you can set them up any time, and they go out once the package is on your plan.
- Reminders — to start: 6, 12, 18 and 24 months after a customer's last cleaning. Change the months, remove some, or add up to six.
- After the last one, every — 12 months to start (so 36, 48…). 0 stops after the last reminder.
- Its own wording — each reminder can have its own subject and message ("Six months already?" vs "It's been a year"). Blank uses the standard. [first name], [months], [last service date] and [company] fill in.
- Homes and/or businesses — homes only to start.
Who gets one
Each morning, a customer gets the reminder whose date has come. The last cleaning is the latest of: a finished visit on your schedule, a sale brought over from QuickBooks, or the last service date from a spreadsheet import (Customers → Import). Their next cleaning starts the schedule over.
Nobody is emailed when:
- a visit is already booked (maintenance-plan customers usually are),
- a proposal is waiting for an answer,
- they chose no reminders,
- there's no email for their service or billing contact.
A reminder is never sent late: if its date passed more than 3 months ago (say, when you first turn reminders on), it's skipped and the next one comes on its own date. Customers → Due for Service shows these as Missed — call.
Customers choose their own
Every reminder links to the customer's email choices page:
- Your usual schedule, every 6 months, once a year, or no reminders;
- whether to get a friendly follow-up when they haven't answered a proposal.
Mail apps' one-click Unsubscribe turns reminders off. What they choose is noted on the customer's record and on Due for Service. Emails about a booked visit, invoices and receipts aren't affected.
Due for Service
Customers → Due for Service lists who's due or coming due in the next 30 days, which reminder they're on, who was emailed, what they chose, and who to call (missed reminders, no email). It works even with the emails turned off.
