Fill the Route — neighbors to call around booked jobs
Fill the Route (part of Smart Booking & Marketing) helps the office fill open time next to jobs already booked, so a van that's already in a neighborhood does a second job there instead of driving across town.
Where: office web page → Schedule ▾ → Fill the Route, or Fill the route around this job › on an appointment. In the app: Schedule → Fill the Route (the toolbar), or on a job. Owners, admins, estimators and office.
What it shows
For each cleaning, plan visit and reservice in the next 7, 14 or 21 days:
- Open before / Open after: the open times right before and right after the job on the same route (or tech), with nothing else booked in between. Only jobs with an open time is on by default; untick it to see every job.
- Who to call: customers within the radius (½ mile to start), each listed once, under the job they're closest to. Each one shows the phone, why they're on the list, and what to offer:
- Due: last cleaned 6 or more months ago, so offer a cleaning.
- Declined last time: services they turned down on a pre-inspection, so offer those (ones already called back about aren't shown).
- Proposal out: offer to go ahead with it while you're there.
- Cleaned recently: they're still on the list; offer what they didn't get (upholstery, tile, rugs, protector).
- Left off: the job's own customer, archived customers, anyone with a visit already booked, anyone marked Do not contact, and anyone reached in the last 30 days (unless they asked for a call back).
Calling, texting and emailing
Call dials, Text and Email open your phone or email with a message already written (their name, the day, the open time and the offer), and Copy message copies it for Podium or anything else. Book opens a new appointment with the open time, the route and the job length filled in.
After each call, pick How did it go? (booked, no answer, left a message, texted, emailed, call back, not interested, do not contact) and Save. That keeps them off the list for 30 days so nobody gets called twice. Do not contact keeps them off for good.
Fill the Route never sends anything by itself; your team does the calling and texting.
Settings (owners and admins)
At the bottom of the web page, Fill the Route settings: how far to look, how long the open time has to be (90 minutes to start), how many days to leave someone off after a call, and how many months until someone is due.
